Dependencies for different inventory
This page explains how to use virtual rooms to send different inventory to different booking channels and/or your own web site
Introduction
Normally virtual rooms are a room type based on one or more underlying real rooms. It is also possible to simulate the underlying rooms from a room type if you want to manage the room type as the master room. This can be useful if you have a room type with multiple rooms but need individual room calendars for certain channels.
Please note that the same charges apply for "virtual" rooms and "real" rooms.
Master Room Setup
We assume you have a room type with multiple rooms of the same type available. This will be the Master room, set this up as normal with no special room dependency settings and a room quantity greater than one.
Individual Virtual Room Setup
Create each individual Virtual room as a new room, set the quantity of the room type to one. (This principle will also work with quantities greater than one if you are creating sub virtual room types)
Go to menu Settings > Properties > Rooms > Dependencies
Set the Virtual room to be dependent on the Master room.
For each Virtual room, set the Combination Logic to an increasing number of "Units must be available". This will cause each individual room to close in turn as the inventory in the Master room reduces so the same number if Virtual rooms will be open as there are rooms in the Master room.
Alternatively, if the Individual rooms can not be booked as a group, you could set all of them to be dependent on the master room. This way they will all be bookable (if they don't already have a booking) until the master room is full, when the master room is full they will all close.
i.e. The "Combination Logic" setting:
"1 Unit must be available" means the Virtual room will be open as long as 1 Unit (room) in the Master room is available.
"2 Units must be available" means the Virtual room will be open as long as 2 Units in the Master room are available. It will be closed when there is only one Master room available.
"3 Units must be available" means the Virtual room will be open as long as 3 Units in the Master room are available. It will be closed when there are only two Master rooms available.
Note: The closing of the Virtual rooms is strictly in the order set by the Combination Logic "Units must be available" setting and not by the room that was booked.
Individual Virtual Room Bookings
Go to menu Settings > Properties > Rooms > Dependencies
Assign bookings from the Virtual room to the Master room so the inventory in the Master room is reduced.
Alternatively you can leave the bookings in the Virtual room and assign a copy to the Master room. This will close the Virtual room which was booked immediately but may not maximise your booking potential because another Virtual room may also close based on your "Combination Logic" setting.
